Privacy Policy

Linkerr ("we," "us," or "our") is committed to protecting the privacy and security of your personal information. This Privacy Policy describes how we collect, use, disclose, and safeguard information when you use the Linkerr platform, website, and services (collectively, the "Platform").This Policy applies to all users of the Platform, including educational institutions ("Institutions"), alumni mentors ("Experts"), and students ("Students"). By using the Platform, you consent to the practices described in this Privacy Policy.

1. Information We Collect

1.1 Information You Provide

Account Information: When you register, we collect your name, email address, password, and role (Institution administrator, Expert, or Student).

Institution Information: For Institutions, we collect the institution name, department (career services, alumni services), contact details, campus branding assets, and administrator credentials.

Expert Profile Information: For Experts, we collect your professional title, company or organization, alma mater, areas of expertise, industry, mentoring approach description, and any content you create using AI Studio (career guides, learning materials).
Student Information: For Students, we collect information provided through their Institution's marketplace, which may include name, email, academic program, graduation year, career interests, and mentoring preferences.

Communications: Messages exchanged through the Platform between Experts and Students, session notes, and feedback.

1.2 Information Collected Automatically

Usage Data: We collect information about how you interact with the Platform, including pages visited, features used, session duration, click patterns, and search queries.

Device Information: We collect device type, operating system, browser type, IP address, and unique device identifiers.

Cookies and Tracking Technologies: We use cookies, web beacons, and similar technologies to maintain sessions, remember preferences, and analyze Platform usage. See Section 8 for details.

1.3 Information from Third Parties

We may receive information from Institutions about their students and alumni as part of marketplace setup. We may also receive information from authentication providers if you use single sign-on (SSO) to access the Platform.

2. How We Use Your Information

We use the information we collect for the following purposes:

Platform Operations: To create and manage accounts, operate Campus Marketplaces, facilitate mentor-student matching, schedule sessions, and process follow-ups.

AI Services: To train and operate AI Assistants based on Expert expertise profiles, to power AI-driven matching algorithms, and to generate content recommendations through AI Studio. AI Assistants are trained on individual Expert expertise to support their specific mentees.

Personalization: To customize your experience, including personalized marketplace pages for Experts and tailored mentor recommendations for Students.

Analytics and Reporting: To provide Institutions with impact dashboards showing aggregate data on mentor matches, sessions completed, engagement metrics, and student career readiness. Individual student data is shared with their Institution only in accordance with applicable regulations.

Communications: To send service-related notifications, including session reminders, match notifications, and Platform updates.

Improvement: To analyze usage patterns, improve Platform features, enhance AI accuracy, and develop new services.

Safety and Compliance: To enforce our Terms of Use, protect against fraud and abuse, and comply with legal obligations.

3. How We Share Your Information

3.1 With Institutions

We share Student and Expert activity data with the relevant Institution that operates the Campus Marketplace. This includes mentor-student match information, session completion data, and aggregate engagement metrics. Institutions have governance control over their marketplace and can access dashboards with Platform activity data for their campus.

3.2 Between Users

Expert profiles, including name, title, expertise areas, and mentoring approach, are visible to Students within the relevant Campus Marketplace. Student information is shared with matched Experts only to the extent necessary to facilitate the mentoring relationship and only after the Institution has approved the connection.

3.3 With Service Providers

We share information with third-party service providers who assist us in operating the Platform, including cloud hosting providers, analytics services, email delivery services, and AI infrastructure providers. These providers are contractually obligated to use your information only to perform services on our behalf and to maintain appropriate security measures.

3.4 For Legal Purposes

We may disclose your information if required by law, regulation, legal process, or government request, or if we believe disclosure is necessary to protect the rights, property, or safety of Linkerr, our users, or others.

3.5 Business Transfers

In the event of a merger, acquisition, reorganization, or sale of assets, your information may be transferred to the acquiring entity. We will notify affected users of any such transfer and any changes to this Privacy Policy.

3.6 What We Do Not Do

We do not sell your personal information to third parties. We do not share student educational records in violation of FERPA. We do not use your personal information for targeted advertising by third parties.

4. FERPA Compliance

Linkerr is designed to be aligned with the Family Educational Rights and Privacy Act (FERPA). When Linkerr processes student education records on behalf of an Institution, we act as a "school official" with a "legitimate educational interest" under FERPA, as designated by the Institution.We access student education records only as authorized by the Institution and solely for the purpose of providing the mentoring services described in our agreement with the Institution. We do not disclose student education records to unauthorized third parties. Institutions maintain control over which student data is shared with the Platform and retain the right to audit our use of such data.Institutions are responsible for providing any required notices to students and obtaining any necessary consents before sharing student data with the Platform.

5. Data Security

We implement industry-standard technical and organizational measures to protect your information, including encryption of data in transit and at rest, access controls, regular security assessments, and secure development practices.While we strive to protect your information, no method of transmission over the Internet or method of electronic storage is completely secure. We cannot guarantee absolute security, and you use the Platform at your own risk.We maintain an incident response plan and will notify affected users and relevant authorities of any data breach in accordance with applicable law.

6. Data Retention

We retain your information for as long as your account is active or as needed to provide services to you. Specific retention periods include:

Account Data: Retained for the duration of your account plus 3 months after account closure to enable reactivation and resolve any outstanding issues.

Expert Content: Content created through AI Studio is retained as long as the Expert's account is active or until the Expert requests deletion. Published content that has been accessed by mentees may be retained in anonymized form.

Mentoring Records: Session records and communications are retained for 6 months after the last session to support continuity and dispute resolution.

Founding Expert Badge: Badge designation and associated profile data are retained permanently, as the badge is a permanent feature of the Expert's profile.

Institutional Data: Retained for the duration of the institutional partnership plus 3 months. Upon termination, Linkerr will assist with data export and delete institutional data upon request, subject to legal retention requirements.

AI Training Data: Expertise profiles used to train AI Assistants are retained as long as the Expert's account is active. Upon account deletion, the associated AI Assistant is deactivated and training data is deleted within 90 days.

7. Your Rights and Choices

Depending on your jurisdiction, you may have the following rights regarding your personal information:

Access: You may request a copy of the personal information we hold about you.

Correction: You may request that we correct inaccurate or incomplete information.

Deletion: You may request that we delete your personal information, subject to legal retention obligations and the rights of other users (e.g., mentees who rely on your published content).

Portability: You may request a copy of your data in a structured, machine-readable format.

Objection: You may object to certain processing activities, including use of your data for AI training.

Withdrawal of Consent: Where processing is based on your consent, you may withdraw consent at any time without affecting the lawfulness of prior processing. To exercise any of these rights, contact us at privacy@linkerr.com. We will respond to verified requests within 30 days.

7.1 Institution Rights

Institutions may request export of all institutional data at any time. Institutions may revoke Linkerr's access to student data. Institutions may request deletion of their Campus Marketplace and all associated data. Linkerr will comply with such requests within 30 days, subject to applicable legal requirements.

7.2 Expert Rights

Experts may download their profile data, published content, and mentoring history at any time through the Platform. Experts may deactivate their AI Assistant at any time. Experts may request deletion of their account, which will deactivate the AI Assistant and remove their profile from the marketplace. The Founding Expert Badge record is retained as a historical designation.

7.3 Student Rights

Students may access and correct their profile information through the Platform. Students may request deletion of their account and associated data. Students with concerns about the handling of their education records should contact their Institution, which maintains governance control over student data within the Platform.

8. Cookies and Tracking Technologies

Essential Cookies: Required for Platform functionality, including authentication, session management, and security. These cannot be disabled.

Analytics Cookies: Used to understand how users interact with the Platform, measure feature adoption, and improve the user experience. You may opt out of analytics cookies through your browser settings or our cookie preference center.

Preference Cookies: Used to remember your settings and preferences, such as language and display options.We do not use advertising or tracking cookies. We do not allow third-party advertising networks to place cookies on the Platform.

9. Children's Privacy

The Platform is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children under 18. If we become aware that we have collected personal information from a child under 18, we will take steps to delete such information promptly. If you believe a child under 18 has provided us with personal information, please contact us at privacy@linkerr.com.

10. International Data Transfers

Linkerr is based in the United States. If you access the Platform from outside the United States, your information may be transferred to, stored in, and processed in the United States or other countries where our service providers operate. By using the Platform, you consent to the transfer of your information to countries that may have different data protection laws than your country of residence. We implement appropriate safeguards for international data transfers, including standard contractual clauses where required.

11. California Privacy Rights

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA) and the California Privacy Rights Act (CPRA), including the right to know what personal information we collect, the right to delete your personal information, the right to opt out of the sale of personal information (we do not sell personal information), and the right to non-discrimination for exercising your privacy rights.

12. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Material changes will be communicated via email or through the Platform at least 30 days before they take effect. The "Effective Date" at the top of this Policy indicates when it was last updated. Your continued use of the Platform after changes become effective constitutes acceptance of the updated Privacy Policy.
